MEMBER JOB ALERT | Glenrinnes Distillery

Due to the growth of the business into new international markets, Glenrinnes Distillery is seeking to fill a new role of Operations Administrator.

Glenrinnes Distillery is the home of Eight Lands, the multi-award-winning organic vodka and gin brand. In recent years Eight Lands has been recognised as the world’s best gin at San Francisco World Spirits Competition, whilst the vodka took top honours at Hong Kong International Wines & Spirits Competition.

As the Operations Administrator, you will be responsible for the core administrative functions of the distillery. These include Logistics, Compliance, Customer Service and Data Management.

As part of a small team the candidate will need to have a positive attitude to the role and be able to work beyond the core job responsibilities when required. A careful and diligent approach to the work is also key.

There will be a requirement to interface directly with customers, both in person and by phone and email, so a friendly and professional manner is essential.

Experience working in the spirits manufacturing industry, and awareness of the logistics of international spirit shipping would be beneficial.

The role is full time (Monday to Friday, 9am-5pm with 1 hour lunch) based at the distillery. The role is best suited to someone already living locally.

Salary is dependent on experience, ranging from £28,000 - £32,000 per annum, plus inclusion in the company’s healthcare scheme.

Key Responsibilities
Logistics:
Organising all paperwork required for national and international shipping, including customs clearance and HMRC compliance.
Ongoing monitoring of shipments to inform customers of delivery dates and to confirm satisfaction.
Ensuring best practice and best value for the company by regular review of shipping options to drive continual improvement.
Liaising with suppliers to ensure incoming shipments are correctly and timeously completed.

Compliance:
Ensure that the Health and Safety, Quality and Organic Integrity system in place is maintained, streamlined and updated.
Assisting with regular internal and external audits.
Undertake regular checks and reviews to ensure all process operations are complete, signed off and recorded appropriately.

Customer Service:
Handle trade and consumer customer enquiries and provide exceptional customer service. This will involve maintaining customer records as well as sales order processing.
Assist with the planning and coordination of special events, press or VIP tours, and tastings.

Data Management:
Organise and maintain our document libraries to ensure that all paperwork within the office is completed and filed correctly.
Ensure that all production data is saved and readily accessible if required (e.g. during spot checks or audits).
Ensure that obsolete or unnecessary documents are removed or quarantined as required and that no unnecessary customer data is retained.
